Social Media and the Internet has demonstrated to be in constant development, where the main thing is “Innovation”, keeping everything on top or trendy. In this context, customers are increasingly demanding to have more and the BEST possible. But who knows what it is that they want? Or what do they need?

Hospitality departments are here to create high-quality experiences, to respond to their needs and desires. But there is more to this than simply booking rooms and planning meals and entertainment. Indeed, hospitality is a complex industry with a foundation in complicated financial planning, legal, and management principles and policies.

In this Project, you will wear the hat of a hospitality event planner: you’ll imagine you are hired to plan the Bill Gates Family Reunion! The Gates family has expressed interest in your services for a massive event, including hundreds of relatives, friends, staff, pets, entertainers, caterers, vehicles, and demands the highest level of organization, service, planning, and success. Under the supervision of an experienced industry expert, you'll evaluate all needs and possibilities, analyze budgetary issues, plan activities, prepare risk analysis reports and utilize hospitality management tools, to prepare a proposal that succeeds in securing the Bill Gates Family Reunion contract. Through our 8 workshops, you will apply processes, principles, as well as technical and analytical tools, as we travel deep into the business of hospitality and major event planning. You will also get to learn how A-list families/clients are a whole different animal when it comes to the business behind hospitality management.

What you will learn

  • Scout, analyze, forecast needs, plan, manage budgets and evaluate risk before, during and after a major hospitality event.
  • Prepare customized business/hospitality event proposals based on client specifications utilizing cutting edge hospitality management and business tools.
  • Properly manage venues and staffing based on complex industry standard analysis and planning for a major hospitality event, utilizing CRM, QA Standard, statistics and other resource management principles.
  • Understand related and necessary legal requirements, including the cross section of contract law, employment law, government regulations, intellectual property and public policy.
  • Understand all hospitality industry specific administration processes, including outsourcing, benchmarking, horizontal integration, vertical integration, negotiation, in the context of major hospitality event planning and management.

Prerequisites

  • Familiarity with layouts such as Canva, Cevent, Microsoft Office, or Triple Seat (or any other booking software).
  • Familiarity with budget management.
  • Familiarity with contract management.
  • Familiarity with culinary topics such as food safety, meal planning, catering, and venues.
  • Familiarity with compliance, including industry-standard hospitality-related policies and procedures.
  • Familiarity with event planning, including events, fairs, congresses, and conventions management.

Fernanda Vargas is a Business Hospitality Build Fellow at Dream Venture Labs, where she works with students leading projects in Business Hospitality. Fernanda is the Social and Community Manager at Camp War Eagle, where she focuses on helping plan, coordinate, organize, and supervise the programs/events/retreats of their community and guests where they get to support public well-being. Fernanda has over 6 years of experience in the Business Hospitality field. Since 2019 she started working in the tourism environment, working in a Tour Operator where she was the first contact with tourists, selling tickets and providing information of any kind of information they may need, later, she became a tour guide and after that, she started collaborating in the creation and execution of different tourism experiences. She also, got to work in a conservatory park “Africam Safari” where she was part of the marketing sales team, researching buyers and creating sales strategies for each of them. Looking to know more about other cultures and got to improve her English, she got to participate in the Summer Camp Programs, where she got a place at CWE (Camp War Eagle), starting as an international support staff where at the end she would become the Social and Community Manager, letting this to expand her knowledge and experience. A great fact about CWE is that it belongs to the big and amazing Walton Family Foundation and from time to time we have the pleasure of getting to serve/host them. Fer holds a Bachelor of Science in Tourism Management.
